The AI Matters is operated by THE AIMATTERS SOLUTIONS PRIVATE LIMITED ("we", "us", "our"). This policy covers theaimatters.com and the connected tools and experiences we provide through the platform. Contact us at support@theaimatters.com for privacy questions or requests.

02Information we collect

Depending on the feature you use, we may process:

• Account and verification: name, mobile number, email, organisation, role, login/session identifiers, phone OTP and email verification status, security logs and relevant account preferences.
• Career and hiring: resumes and resume history, education, skills, work experience, contact details, job applications, job descriptions, scores, screening results, interviews, availability and selection/onboarding status.
• Staffing partners and employers: agency/business profile, submitted candidate information, client/job contacts, assignments, communications, activity and verification information.
• AI tool interactions: resume and job-description inputs, requests and responses from JobFit, Ask AI and InterviewFit, interview evaluations, generated scores and usage/quality metadata.
• Messages and support: in-platform messages, requests, support tickets, emails and relevant correspondence.
• Payments and plans: plan selection, subscription state, order/payment references, amounts and transaction status supplied by payment partners such as Razorpay. Complete card credentials are handled by the payment provider rather than being collected through our own checkout form.
• Technical and marketing information: IP address, device/browser data, cookies, approximate usage activity, errors and advertising/measurement identifiers where those services are enabled.

Some information comes directly from you; other details may be provided by recruiters, staffing partners, organisations or service providers in connection with a recruitment process.

03Why we use information

We use relevant information to create and secure accounts, verify email/mobile ownership, deliver job search and applications, connect eligible candidates with employers/partners, manage interviews and hiring stages, show AI-assisted matching/evaluation, handle messaging and notifications, provide billing/subscriptions and support, prevent abuse, meet legal obligations, and understand and improve service reliability.

Operational communications such as OTPs, application/interview updates, account security messages and payment receipts differ from optional promotional communications. You may contact us to request changes to non-essential marketing communications.

04AI evaluations and hiring decisions

JobFit scores, AI screening, interview suggestions and other generated responses are decision-support outputs. They may be incomplete, inaccurate or biased and should be checked by a qualified person. A match score does not guarantee an interview or employment. A recruiter or employer remains responsible for its hiring decisions and applicable obligations.

Submitted resumes, job descriptions and prompts may be processed by contracted AI, search, storage and infrastructure providers to deliver the requested features. Please avoid entering unrelated sensitive personal information in prompts or documents.

05When information is shared

Job applications, profiles, candidate submissions and relevant interviews may be accessible to the recruiters, employers, staffing partners and authorised staff involved in the associated recruitment activity. Messaging content is visible to intended conversation participants and may be accessed by authorised staff as needed for service operations, safety or support.

We may use contracted providers for website hosting, storage, security, email/SMS OTPs (including MSG91 and ZeptoMail where configured), payment processing (including Razorpay), AI-related processing, analytics, and advertising. Providers may process data under their own notices and service terms. We may also disclose information where required by law or to protect users and the service.

We do not promise that data stays exclusively within India; some service providers may process or store information in other jurisdictions subject to applicable requirements.

06Cookies and advertising

Session cookies and similar technologies support login, anti-fraud, OTP verification, CSRF protection and user preferences. Analytics or advertising technologies, including Google services when activated, may use additional identifiers. See our Cookie Policy for details and browser controls. Third-party advertisements are separate from our recruitment and AI evaluations.

07Storage, retention and security

We apply measures intended to protect account access and platform records, including authentication, role-based access controls and transport security. No online system can guarantee absolute security. Data is kept for the period reasonably needed to provide the service, maintain transaction/operational records, address disputes, protect against abuse and comply with applicable retention obligations. Different categories may have different periods.

When deletion is requested, data may still need to be retained for specific lawful or contractual reasons, including invoices, fraud-prevention records and relevant recruitment activity. We review and act on requests according to applicable requirements.

08Your choices and privacy requests

You may request access to details about personal data we process, correction of inaccurate information, account/data deletion where applicable, and withdrawal of optional consent. Some withdrawals may make specific features unavailable, and certain processing may continue where legally permitted or required.

Email support@theaimatters.com with your request and the account email or mobile number. We may verify account ownership before making sensitive changes. You can also contact us to raise a data-handling concern or grievance; we will review it under the applicable law.

09Children, external links and updates

The recruitment platform is intended primarily for adults and authorised business users. A minor should not create an account or submit personal information without appropriate parent/guardian involvement and a legally permitted purpose. Our website may link to employer, government and other independent websites that have their own notices.

We may revise this policy as services or applicable requirements change. Material updates will be reflected on this page with a revised effective date; additional notification may be provided where required.
